JOB DETAILS: The position of Executive Secretary plays a crucial role in supporting the Director in managing schedules, administrative tasks, operations, and external relations, ensuring that activities run smoothly and efficiently.
MAIN RESPONSIBILITIES:- Schedule management: Organize and track the Director's work schedule, meeting schedule, business trip schedule, and appointments in a systematic and time-optimized manner.
- Administrative and office support: Drafting documents, contracts, and reports; managing and archiving files and documents (including confidential documents).
- Executive Support: Assisting the Director in monitoring and supervising business operations; participating in organizing meetings and events; compiling reports and meeting minutes.
- Information communication: Receiving, classifying, and processing information; accurately and promptly communicating the Director's instructions to relevant departments.
- Logistics organization: Arranging logistics for meetings, events, and business trips (flights, hotels, transportation, etc.).
- External Relations: Assisting in welcoming partners and clients; ensuring the company maintains a professional image.
- Other duties: Perform other tasks as directly assigned by the Director.
REQUEST:- Graduated from college/university in the following fields: Business Administration, Public Administration, Foreign Languages, or related fields.
- Having 1–2 years of experience in a Secretary/Assistant role is an advantage.
- Excellent organizational, planning, and time management skills.
- Excellent communication skills, able to convey information clearly and professionally.
- Proficient in office software (Word, Excel, PowerPoint).
- Careful, good information security, and professional demeanor.
- Business trips may be required when necessary.
