仕事内容

JOB SUMMARY:

The role involves extensive administrative support for Partner(s), including managing calls, translating documents, liaising with clients and suppliers, and handling various organizational tasks to ensure smooth operations.


RESPONSIBILITIES:

  • Receiving incoming calls and taking notes for the Partner(s);
  • Translating documents from English into Vietnamese and vice-versa;
  • Liaising with clients, suppliers and other staffs;
  • Carrying out specific projects and research;
  • Timesheet recording, filing clients files, database management;
  • Arranging and preparing appointments/meetings for Partner(s);
  • Booking air tickets, hotels, visa, and restaurants for Partner(s) & guests, arranging for stationery with Admin for Partner(s) office use;
  • Assisting in organizing seminars and events for the Partner(s);
  • Preparing deal lists for annual ranking submission;
  • Arranging clients meeting/networking events;
  • Tracking and following up on the Firms marketing and business development leads;
  • Assisting internal and external marketing and business communications;
  • Arranging & submitting documentation for Partners signature;
  • Making all expense claim for Partner and his driver and other legal Associates;
  • Updating and reminding Partner(s) daily schedule;
  • Coordinating with other departments (finance, HR, IT);
  • Ordering office supplies and managing office logistics;
  • Supporting senior lawyers and associates with administrative tasks; and
  • Other duties be assigned by the Partner(s) from time to time.

REQUIREMENTS:

  • Secretarial work experience for over 2 years is preferable in a professional environment;
  • Strong communication skills in English & Vietnamese, with fluency in English a bonus;
  • Ability to perform in high pressure environment, including time and document management skills;
  • Ability to work well independently and as a team.
  • Bachelor's Degree in Business Administration, English Language, and other secretarial-related fields.
