1. Reception (50%)
- Man the front desk and keep the reception area clean and tidy.
- At the beginning of the day, prepare and clean the work area in preparation for opening hours to welcome guests:
- Open electrical appliances
- Clean the reception area
- Call Labo to remind to deliver sample on time.
- Prepare complete patient treatment records and Lab samples for the day to bring to the Treatment Room.
- Reception and guidance for patients when coming to the dentist:
- Open the door for guests, remind guests to change into clinic slippers, invite guests to sit down, and offer guests water.
- Check customer information:
+ If it is an old customer making an appointment, we will check the customer's most recent X-ray and then call to notify the treatment room.
+ For new customers making an appointment: Ask for patient information to make a medical record, take X-rays for the customer, then notify the treatment room or Doctor (if any).
+ For new customers who have not made an appointment: Ask for the customer's information to make a medical examination record, take X-rays for the customer, then notify the treatment room or Doctor (if any). In case the Doctor is fully booked, the patient will be scheduled for the following day.
- After taking the film, the patient's film will be saved in a Pano file and sent to Viber for the Doctors to follow up.
- Prepare treatment plan, prescription, receipt (if any) for patient after consulting with Doctor and completing treatment.
- Schedule follow-up appointments for patients based on Doctor's request.
- Record information, store and manage patient records (Prepare records, store records, enter records)
- Check daily revenue, finalize revenue for each Doctor and close daily revenue. Report revenue to superiors.
- At the end of the day, turn off electrical equipment, lock cabinets carefully, and lock the dental room door.
2. Customer care (40%)
- Text or call to remind patients with appointments for the next day, ask about the health of newly treated patients.
- Understand dental products and service packages to care for and answer questions about dental products and services. Will consult patients directly at the clinic if necessary.
- Consulting and answering customer questions, best meeting customer needs on fanpage, zalo, messenger,...
- Call potential customers to sell products/services,
- Manage and update customer information on the database system.
- Build good relationships with customers, respond quickly, and handle customer complaints well (if any).
3. Other work (10%)
- Coordinate well with the Treatment Department to resolve other problems that arise and perform other tasks as required by superiors.
- The patient records and information manager must ensure that patient records are stored and managed accurately and securely. The receptionist is responsible for keeping records up to date and organized as required.
