Perform the work of drafting documents, forms, contracts, ... of the company at the request of the building manager.
- Answer phone and fax switchboards.
- Guiding and welcoming guests to work at the company.
- Receive, process and distribute incoming and outgoing documents, documents and correspondence.
- Monitor office security and comply with the company's access control through management of records and card distribution to customers.
- Receive information and report back to the building manager any problems/reflections from customers.
- Store and manage documents in the field under their management.
- Make a list to monitor assets and tools on an annual basis
- Ensure maintenance of cleaning services, office equipment, technical systems of the building, stable operation and maintenance as planned.
- Store all documents, official documents, internal regulations of the Building in a reasonable manner (tenant handbook, interior finishing instructions ...)
- Synthesize reports from departments, make weekly activity reports and submit them to the Management Board for approval before sending to the Board of Directors.
- On behalf of the Manager, assign tasks to the Service Department Staff (Security, Cleaning ...) with a professional manner and supervise to ensure these jobs are completed properly.
- Coordinating technical, taking over for the Manager when the Manager goes on a business trip / leave to ensure the operation of the departments is well maintained.
- Together with the Manager, work with the suppliers/contractors on necessary operational issues related to the company's activities when assigned.
- Daily and periodic inspection of services and utilities of the Building.
- Assist in the development and drafting of processes to help check and evaluate the quality of soft service contractors.
- Prepare technical articles, evaluate and propose contractor selection.
- Monitoring the compliance with the process of security contractors, cleaning, pest control, garbage, garden ... Ensure maintaining standards of safety, security, hygiene, landscaping... according to the contract... contract, requirements of the Investor and the Management Board.
